A share link is a capability: anyone holding the URL has its level: Viewer, Participant or Editor. That is what makes sharing frictionless, but it also means a link left lying around keeps working. liveplanner gives you two controls to tighten that up, a password on the plan and a lifetime on each link, plus turning a link off outright. All three live in the Share dialog, and none of them ever stops you, the owner.
Share password
You can put a single password on a plan: turn on Password Protection in the Share dialog, type it, and press Save. Once it is set, anyone opening any share link for that plan must enter it before they can view.
- One password covers every link on the plan, embeds included, not one password per link. While a password is set, a live image of the plan shows nothing, because an image can't ask for a password.
- You never need it. The owner is identified directly, so you never get prompted on your own plan. Neither are members of the team whose library holds it.
- Nobody can read it back. Only a scrambled (hashed) form of the password is stored, so even you see just "Links need a password." Note it down when you choose it; use Change or Remove any time.
- Changing it reaches everyone. People already in the plan through a link are asked for the new password within a few minutes.
The goal is to stop people guessing or stumbling onto a share URL, not to provide cryptographic protection. See Share Passwords for the full walkthrough.
Link lifetime
When you create a link, Lasts sets its lifetime, so access ends automatically without you having to remember to turn it off: Forever (the default), 1 week, 1 month or 6 months.
When a link runs out it stops granting access everywhere: the share URL, its embed and live image, and the real-time room. It stays in the Share dialog marked Expired, where Extend gives it more time. See Share Link Expiry.
Access is checked with short-lived passes that are renewed every few minutes, so a change to a link, its password or a team reaches people already in the plan within a few minutes. Turning a link off is faster: everyone using it is sent out straight away.
Use the two together for sensitive work: a password stops casual access, and a lifetime bounds how long even the right people keep it. Prefer a Viewer link when people only need to look, or a Participant link when they need to add and move cards, comment and vote without changing a board's columns or settings, and remember that anyone who can see an embed's page source can see its link.
