Sharing and Embeds

Share links for live collaboration, optional passwords and lifetimes, and embeds.

Sharing turns a plan into something other people can open. A share link lets anyone with the URL join your plan in real time, with live cursors and edits flowing between everyone. You can protect your links with a password, give a link a lifetime, or embed the plan in another page. None of this needs the other person to sign in: a share link can be handed to a guest who edits without an account, and you can create links as a guest too.

Opening the Share dialog

Press Share at the top right of the editor. You can also reach it from the command palette or from Share in a plan's menu in the Explorer.

The plan's owner, and every member of the team whose library holds it, can manage its links. Someone who opened your plan through a link can't.

The dialog opens on a new link. Choose what it lets people do from the three levels across the top:

  • Viewer: watches along. Can't comment or change a thing. They can open cards to read them.
  • Participant: comments, votes and works items, but can't reshape the plan. They add cards and edit their fields, move cards between columns, write in Sheet cells, comment and cast dots in a vote. They cannot change a board's columns, card types or settings, format a Sheet, or add, rename, reorder or delete tabs. It is the level to hand a team for a retrospective or a planning session.
  • Editor: works with you in real time, changing anything you can.

Below the levels, Opens chooses whether the link opens Every tab or only one (Sharing One Tab); it shows when the plan has tabs to choose from. Lasts chooses how long the link works: Forever, 1 week, 1 month or 6 months (Share Link Expiry).

Press Create and Copy Link. The link is made and copied in one go, ready to paste.

A plan can have several links at once, so you can hand an Editor link to a co-facilitator, a Participant link to your team and a Viewer link to everyone else. Whoever opens a link joins the same realtime room, and the plan lands in their Shared With Me list for next time.

Under Links, each link shows its level, its address and how long it has left. On each one you can:

  • change its level with the level menu, and which tabs it opens with the tab menu, at any time; the address stays the same;
  • press Extend on a link with a lifetime to give it more time;
  • press Copy to copy its address again;
  • press the bin (Turn off link) to stop it working.

Turning a link off takes effect at once: anyone in the plan through it is sent out, and the address stops opening it. It can't be turned back on; make a new link if you change your mind, which gives a new address.

Changes to a link's level, tabs or password reach the people already using it within a few minutes.

At the foot of the dialog, Set Password puts one password on every link to the plan (Share Passwords). Share Link Security explains what a link does and does not protect.

Embedding a plan

An embed puts a live copy of a plan inside another page, like a wiki, a doc or Notion. Where an <iframe> isn't allowed, like a GitHub README, a live image shows a picture of the plan instead. Both are made from a share link's address.

A plan in This Browser lives only in your browser, so there is nothing on the server to share yet. Opening Share on one shows a gate instead of the link controls, with a button that uploads it first.
